Conference Registration Policies & Information

Special Team Discounts
For every two individuals from your organization who register, a third team member receives a free conference registration. The free registration for the third team member is not transferrable to a future conference. All registrations must be received at the same time by mail or secure fax. Fax team registrations to 301.576.3592. This offer is available for full conference registrations only. Sponsors are excluded.

Early Registration
To qualify for the early registration discount, AHIP must receive registration forms and payment no later than Wednesday, October 3, 2012. Registrations received, after this date, are subject to the standard registration fees.

Payment
Registrations will not be processed without payment. Make checks payable to “AHIP”.  

Cancellation Policy
To cancel your registration, please send a written notification to registrations@ahip.org on or before October 31, 2012. No refunds will be given for cancellations received after October 31, 2012. Telephone cancellations will NOT be accepted.

Refunds
Refunds are issued to those who have notified AHIP in writing by October 31, 2012. Refunds will be provided, less a processing fee. All refunds are subject to a $350 processing fee. Please allow 30 business days after cancellation for refund processing. 

Substitutions
All substitution requests must be received in writing from the original registrant by October 31, 2012 to registrations@ahip.org. Differences in registration type or event selection may cause an increase in registration fees, which will be the responsibility of the new registrant. In the case of a decrease, AHIP will refund the difference.

Registration Transfer/Credit
AHIP allows for registrations to be transferred to future conferences when attendees are unable to attend a conference for which they have registered. This does not apply to free registrants. Registration transfer requests must be received in writing to registrations@ahip.org by November 7, 2012. Conference registration credits are valid for one year from the date of the conference for which the cancellation applies.

New Important Badge Information  

Photo ID Required
AHIP now requires that all conference attendees show a valid, government-issued photo ID to pick up their badge. AHIP requests that you wear your badge at all times while in the conference space. You will need to wear your badge to access the sessions. We request that you return your badge to the Registration Desk at the end of the conference(s).  Conference badge and materials will not be provided until registration fees are paid in full.

New Multi-Media Policy 

This conference, including all presentations and conversations at this conference, may NOT be recorded by any means, including without limitation on audiotape, videotape, film, or the memory of a device, nor may it be broadcast or streamed on the Internet, in whole or in part, without the prior written permission of America's Health Insurance Plans. This prohibition extends to the recording on any type of device, including without limitation cellular phones (including Smartphone), personal digital assistants (including Blackberries, iPhones, Palm Pilots), ear piece devices (such as Bluetooth), laptop computers (including iPads), and digital or other types of video cameras or recorders.  

Failure to adhere to this policy may result in immediate removal from the conference, as well as other potential consequences.
