Show Location
Institute 2011 will take place in San Francisco, California at Moscone West.

Payment Schedule
Full payment must accompany the application and contract for exhibit space. Payment may be made by check or money order, made payable to AHIP, or by credit card—MasterCard, Visa, or American Express ONLY. The applying company must be in good financial standing with AHIP at time of payment; all outstanding invoices for any AHIP services and/or advertising must be paid in full prior to contract acceptance and space assignment for Institute 2011.

Cancellation or Withdrawal
Booth space cancelled prior to February 25, 2011 will be refunded, less a $250 service charge. Booth space cancelled after February 25, 2011, BUT before March 25, 2011 will receive a 50% refund. No refunds will be issued for cancellations or withdrawals made after March 25, 2011. All cancellation and withdrawal notifications must be faxed to 202.478.5002 (secure fax). No verbal notifications will be accepted.

Booth Fee Includes

  • One (1) full conference registration (per 10’ x 10’ booth)
  • Three (3) exhibitor badges for working exhibit booth staff (per 10’ x 10’ booth)
  • 8’ high back drape and 3’ high side drape
  • Booth identification sign (approximately 7” x 44” in size)
  • Daily aisle maintenance
  • Recognition in relevant on-site and/or online materials, including a 50-word company description
  • Listing in the Institute Pocket Guide*
  • Listing on the Virtual Trade Show site*
  • Single use of the Institute 2011 registrant pre-conference mailing list**
  • Single use of the Institute 2011 attendee post-conference mailing list**
  • Non-exclusive license to use the Institute 2011 conference logo/branding in connection with mutually agreed upon promotion of the sponsor’s conference sponsorship and participation

Booth Space
All booths are standard 10’ x 10’ units or multiples thereof unless otherwise indicated. The maximum height for exhibit booths is 8 ft., except for Presidential Sponsors’ island booths.

In-line Booths***
The minimum exhibit space is 10 feet by 10 feet. AHIP will provide in-line booths with the standard booth drape consisting of an 8-foot backwall and 3-foot side drape. If requested, an identification name sign will be provided. For more information on ordering a sign, please refer to the decorater. All display materials and equipment should be arranged in such a manner so as not to obstruct the sight lines of neighboring exhibitors. A maximum height of 8 feet is allowed in the back 5 feet of booth space, with a 4-foot restriction placed on objects placed in the front 5 feet of the booth. Equipment may exceed the 4-foot height limit imposed on the front half of the booth provided that it does not exceed 8 feet in height and does not obstruct the view of adjacent exhibits. All booths must be carpeted. No in-line booth may be covered with a canopy or ceiling.

Island Booths (Limited to Presidential Sponsors)***
An island booth is any size booth exposed to aisles on all four sides. A 20' x 20' island booth is 400 square feet with an aisle on all four sides. Island booths should be constructed to allow an open sight line enabling an attendee to view the surrounding exhibit area through the island booth. All booths must be carpeted. Theater presentations and/or product demonstrations must be set back from the aisle to allow for chairs and standing room within the booth to accommodate attendees. All exhibitors with island booths are required to submit detailed floor plans to AHIP Show Management for approval no later than Friday, April 15, 2011. These floor plans must include plans for hanging signs. It is required that prior to the final booth design, renderings be submitted to AHIP Show Management for pre-approval. This includes any hanging signs or lighting. No island booth may be constructed without prior written approval from AHIP Show Management. Island exhibits may not exceed 20 feet in height from the floor to the top of any exhibit structure. This includes, but is not limited to, hanging signs or lighting/theatrical truss. Any exhibit structure or display exceeding 16 feet in height must be approved by a licensed structural engineer prior to installation. A copy of the engineer’s certificate or stamped floor plans must be submitted for approval.

** All mailings utilizing the Institute 2011 registration list must be conducted through AHIP ’s bonded mail house. Mailing lists will not be sent directly to exhibitors or sponsors. Pre-conference and post-conference uses of the Institute 2011 mailing list must be used for Institute 2011-specific mailings. Post-conference mailings must be conducted within three months of Institute 2011.
