Registration Policies and Information 

Photo ID Required  

  • AHIP now requires that all conference attendees show a valid, government-issued photo ID to pick up their badge.
  • Conference badge and materials will not be provided until registration fees are paid in full.
  • AHIP requests that you wear your badge at all times while in the conference space. You will need to wear your badge to access the sessions.
  • We request that you return your badge to the Registration Desk at the end of the conference(s).

Special Team Discounts 

  • For every two paid individuals from your organization who register, a third team member receives a free conference registration. The free registration for the third team member is not transferrable to a future conference. To qualify for Team Discount ALL attendees must be registered for same conference/event. 
  • This offer is available for Fall Forum conference registrations only. Exchange ONLY registrants and any Exchange combination registrations, Sponsor, One-day only and Government registrations are excluded.
  • All registrations must be completed online or received at the same time by mail or secure fax. Fax team registrations to 703.574.8332 

Payment 

  • Registrations will not be processed without payment. Make checks payable to AHIP.

Early Registration Discount  

  • To qualify for early registration, AHIP must receive registration forms and payment no later than Wednesday, October 31, 2012.
  • Registrations received after this date are subject to the standard registration fees.

Cancellation and Refund Policy  

  • To cancel your registration, please send a written notification to AHIPFALLregistration@jspargo.com on or before Tuesday, November 20, 2012. No refunds will be given for cancellations received after Tuesday, November 20, 2012. 
  • Telephone cancellations will NOT be accepted.
  • Refunds are issued to those who have notified AHIP in writing by the cancellation date indicated.
  • Fall Forum: Refunds will be provided, less a processing fee of $350 ($150 for government registrations).
  • Exchange Conference Only: Refunds will be provided, less a processing fee of $125 ($100 for government registrations).
  • The Institute Media Portal is a non-refundable event.
  • Please allow 30 business days after cancellation for refund processing.

Substitutions  

  • All substitution requests must be received in writing from the original registrant by Tuesday, November 20, 2012 to AHIPFALLregistration@jspargo.com .
  • Differences in registration type or event selection may cause an increase in registration fees, which will be the responsibility of the new registrant. In the case of a decrease, AHIP will refund the difference.

Registration Transfer/Credit  

  • AHIP does allow for registrations to be transferred to future conferences when attendees are unable to attend a conference for which they are registered. This does not apply to the free TEAM registrants.
  • Registration transfer requests must be received in writing to AHIPFALLregistration@jspargo.com by Friday, November 30, 2012.
  • Conference registration credits are valid for one year from the date of the conference for which the cancellation applies.

Multi-Media Policy 

This conference, including all presentations and conversations at this conference, may NOT be recorded by any means, including without limitation on audiotape, videotape, film, or the memory of a device, nor may it be broadcast or streamed on the Internet, in whole or in part, without the prior written permission of America's Health Insurance Plans. This prohibition extends to the recording on any type of device, including without limitation cellular phones (including smartphones), personal digital assistants (including Blackberries, iPhones, Palm Pilots), ear piece devices (such as Bluetooth), laptop computers (including iPads), and digital or other types of video cameras or recorders.  

Failure to adhere to this policy may result in immediate removal from the conference, as well as other potential consequences.
