Registration Policies and Procedures

Personal Information

By registering for the Event, you consent to AHIP collecting, storing, and transmitting your personally identifiable information to our Event sponsors, exhibitors, and vendors, and agree to receive messages from AHIP promoting the Event and other AHIP programs and services. Consistent with AHIP's privacy policy (found at www.ahip.org/privacy-policy), we do not otherwise sell, rent, or lease any lists to any third party.

Payment

Registrations will not be processed without payment. Make checks payable to AHIP and mail to: AHIP; PO Box 418091, Boston, MA 02241-8091.

All check payments must be received by June 4, 2024. After June 4, 2024, all payments must be made with a credit card.

Conference badge and materials will not be provided until registration fees are paid in full.

Cancellations and Refunds

AHIP reserves the right to cancel any Event. In the unlikely event of cancellation, AHIP is not responsible for any costs, damages, or other expenses of any kind, including and without limitation, transportation, hotel, or other costs incurred by registrant.

Attendee cancellations in advance of the cancellation deadline will be honored.

To cancel your registration, please send a written notification to registrations@ahip.org on or before April 30, 2024 (telephone cancellations will not be accepted).

No refunds will be given for cancellations after April 30, 2024, however substitutions are allowed, and conference registration credits are available to attend a future event. A conference registration credit is valid for one year from the date of the conference for which the cancellation applies.

Refunds are issued to those attendees who have notified AHIP in writing by the cancellation date indicated above. All refunds are subject to $175 processing fee ($50 for government registrations). Please allow 30 business days after cancelation for refund processing.

Registrants who refuse to comply with AHIP’s conference safety protocols may be denied entry without refund.

Substitutions

All substitution requests must be received in writing from the original registrant to registrations@ahip.org and must have the new registrant copied on the email.

Substitutions may be made up to 48 hours before the day the Event begins. Differences in registration type or event selection may cause an increase in registration fees which will be the responsibility of the new registrant. In the case of a decrease, AHIP will refund the difference.

Fees

No Retroactive Fees Adjustments. Once you have registered, your fees will not be adjusted downward based on any sponsorship, discount, or any other reason.

Special Rates and Discount Codes

If you register using a special rate that is not applicable to you, you hereby give AHIP the right to charge your card for the difference upon notice that AHIP does not agree with your selection of a special rate. All determinations of special rates are in the sole discretion of AHIP.

Discount codes are subject to change and may not be used with certain promotions.

Health and Safety

With the expiration of the COVID-19 pandemic national health emergency and based on currently available public health data indicating dramatic reductions in rates of COVID-19, AHIP has revisited its event protocols. At this time, AHIP does not require event attendees to provide any proof of vaccination, utilize temperature checks or routine COVID tests, wear face masks, or maintain social distancing. Instead, attendees are expected and encouraged to voluntarily follow best practices and the guidance of public health authorities with respect to reducing infection from COVID, the flu, and other communicable diseases.

AHIP specifically expects registrants to adhere to applicable health authority guidelines regarding appropriate actions in the event that they have a fever or exhibit symptoms of a contagious disease (including but not limited to COVID-19 and the flu), receive a positive test result for such a disease, or have been in recent close contact with a confirmed case of such a disease. Please familiarize yourself with the CDC’s guidelines for individuals with COVID-19 at https://www.cdc.gov/coronavirus/2019-ncov/your-health/isolation.html; or the flu at: https://www.cdc.gov/flu/business/stay-home-when-sick.htm.

If you develop a fever or symptoms of a contagious disease or receive a positive test result for such a disease while participating in the conference, we kindly request that you promptly leave the conference premises.

Photography and Recording

AHIP may, including through third-party contractors or agents, record all or parts of the Event via photography, video, audio, or other means. In consideration for being able to attend AHIP's Event, you hereby grant to AHIP your full and complete irrevocable permission, without reservation or restriction, to photograph you, record you, or both, at the Event, and to use said photograph(s) or recording(s) in any manner for AHIP’s marketing and other legitimate business purposes, without any compensation, benefit, or notice to you.

Off the Record Sessions

Most AHIP Event sessions are considered open to press and on the record. Like many industry conferences, AHIP Events also occasionally include panels and keynotes that are off the record. If a session is off the record, you are welcome to attend, but may not blog, post, record, video, photograph, and/or tweet about the content of an Event session when AHIP or the speaker has explicitly requested that some or all of the information presented is not to be captured or shared.

Code of Conduct

All Event attendees (including speakers, exhibitors, or other participants) must comply with this Code of Conduct. Event attendees are expected to treat other attendees with respect and consideration and must not engage in harassing or disruptive behaviors. Anyone asked to stop such behavior is expected to comply immediately.

AHIP defines harassment to include offensive verbal comments related to gender, sexual orientation, race, religion, national origin, gender identity, or disability; use of nudity and/or sexual images in public spaces (including presentation slides); deliberate intimidation, stalking or unwelcome following; harassing photography or recording; sustained disruption of talks or other events; and unwelcome physical contact or sexual attention.

AHIP Event attendees often combine professional activities with social interaction and while AHIP encourages such networking and strengthening of connections, AHIP reserves the right, in its discretion, to remove or bar anyone whose social attentions become unwelcome to another attendee, who appears inebriated, or who engages in conduct that interferes with the ability of other attendees to participate in and enjoy the Event.

Assumption of Risks; Releases

You expressly assume all risks associated with, resulting from or arising in connection with your participation or presence at the Event, including, without limitation, all risks of loss, harm, damage or injury to property or person (including the risk of contracting COVID-19 or other disease or illness, or death), whether caused by negligence, intentional act, accident, act of God or otherwise. You acknowledge and agree that AHIP shall not be liable for, and in consideration of your participation in the Event you hereby release AHIP from, any and all risks, losses, damages and liabilities whatsoever which may arise in connection with your participation in the Event.

Violations

If you violate these Terms and Conditions, or any rules and regulations governing the Event, AHIP may take action, including but not limited to barring you from continued attendance or participation in some or all of the Event, without refund of any fees paid, and/or barring you from attendance at or participation in future AHIP events or activities.

During the process of providing you services on behalf of AHIP, ConferenceDirect may collect, store, or transmit your personal identifiable information such as name, address, contact information, preferences, demographic information, as well as any hotel or travel requests you provide us. This information is necessary for the facilitation of Registration services for you. This information may be shared with other 3rd parties, such as event organizers, planners, affiliated organization, and travel or lodging providers.
