Position Summary:  

Under the supervision of the Vice President of Human Resources, the Receptionist/Human Resources Associate provides top-quality customer service to AHIP member companies, business affiliates, guests, and the general public through serving the office’s main reception area. This position is essential to the organization as a whole and helps ensure that calls to the main phone line are handled professionally and guests are treated according to AHIP’s standards of excellence.

This position also provides support for the human resources functions including but not limited to the following areas: recruiting, screening, interview scheduling and Affirmative Action data management.

Specific Responsibilities:

Receptionist Responsibilities:

  • Ensures calls are expeditiously handled and all guests are treated with excellent customer service.
  • Professionally processes incoming and internal calls according to protocols.
  • Identifies areas for process improvement and utilize technology and other resources to help the reception team better serve callers and guests. Catalog and update the front desk procedures manual as processes evolve.
  • Provides conference room and meeting support, including booking meeting rooms, coordinating A/V equipment, assisting with catering, etc.
  • Maintains comprehensive knowledge of functions and structures of departments in and throughout the association.

Human Resources Associate Responsibilities:


  • Initiates the internal processes and data management for recruiting.
  • Posts and maintains job postings on recruitment websites/publications.
  • Reviews resume submissions for qualifications and forwards to hiring manager if basic requirements are met.
  • Schedules interviews and ensures required paperwork is received from applicants prior to interview.
  • Maintains Applicant Spreadsheet for hiring manager when needed.


  • Assists Senior Director of Human Resources in timesheet and Paid Time Off (PTO) calendar review prior to bi-weekly payroll processing.

Other Responsibilities:

  • Preparation of Human Resources’ monthly Employee Newsletter.
  • Supports a secure environment and implement the appropriate security procedures as needed.
  • Other duties as assigned.

  • Propensity to lead and be proactive when appropriate and necessary.
  • Possesses exemplary customer service skills and is able to accommodate different situations and temperaments.
  • Polished interpersonal skills in communicating with a variety of stakeholders (AHIP staff, member company representatives, and others).
  • Exercises superb judgment and demonstrate professionalism (reliability, appearance, and dependability).
  • Has a friendly and positive demeanor; is a team player who enjoys interacting with people.
  • Manages multiple deadlines and has mastered scheduling requirements on a self-directed basis, including prioritizing tasks and making quick adjustments when called for.
  • Strong computer skills (keyboard proficiency, experienced in MS Office products and newsletter preparation).


  • 5 – 10 years of professional experience in customer service and client relations.
  • Eight years of experience in position that required the highest level of confidentiality.
  • Proven experience applying organization skills to improve process or efficiency.


  • On the job experience substituted for degree.

Significant Work Activities & Conditions:

  • Continuous sitting for prolonged periods more than 4 consecutive hours in an 8-hour day.
  • Keyboard use of greater or equal to 80% of the workday.

Percent of Travel:

  • There is no travel associated with this position.
