Position Summary:

Under the supervision and guidance of the Executive Vice President (EVP), Business Affairs (BA), this position is responsible for initiating, managing and fulfilling webinar sponsorships related to contractual obligations throughout the contract cycle. This includes the planning and production of sponsored educational programming for live webinars. This position works closely with AHIP’s Business Development and Marketing teams to ensure quality sponsored webinar content is developed, scheduled, and marketed in a timely fashion. This position also supports the account managers through assignment of new sales leads, provides assistance with lead follow up as needed, and maintains the account rep database of account assignments by company name. In addition to the core, day-to-day position responsibilities, this position provides redundancy and administrative support to the Business Development Team Project Manager Exhibits & Sponsorships, as requested by the EVP. Specific Responsibilities:

Customer Service:

1. Provides excellent customer service to sponsors and vendors supporting AHIP programs and webinars.
2. Works with appropriate teams when challenges are identified.
3. Responds promptly and professionally to phone and e-mail inquiries; maintains customer confidence in all interactions.
4. Resolves complex customer issues and follows up with appropriate internal and external resources as needed to drive to resolution.
5. Maintains complete records of all customer outreach and webinar-related statistics and reports on activities of self or group as directed.

Webinar Management:

1. Assists with managing webinars and fulfilling contractual obligations during all phases of the project life cycle, including webinar content approval, scheduling, marketing, and execution.
2. Serves as the point person for all sponsor related webinar content to ensure the timely submission and approval of content.
3. Provides guidance on new strategies to enhance webinar completion rates.
4. Works with designated account managers to provide guidance to sponsors as needed.
5. Provides instructional and technical support to sponsored webinar speakers with an ability to troubleshoot issues.
6. Works with official AHIP webinar vendor to set up registration and ensure efficient and timely scheduling of technical runs with the sponsor and Business Development account rep, in advance of the live webinar.
7. Supports the marketing team to ensure accuracy of sponsor related activities and materials (e.g., sending out semi-monthly webinar promotional emails, social media promo copy, etc.).
8. Captures and analyzes data associated with contractual obligations and deliverables and present findings to the Business Development team on a reoccurring and timely basis.
9. Other duties and special projects in support of the Business Development Department, as assigned.

• Demonstrated success with administrative, planning, and organization skills.
• Superior customer service skills and ability to troubleshoot technical problems.
• Demonstrated experience with managing all aspects of webinar management and execution.
• Excellent verbal and written communication and interpersonal skills, and attention to detail.
• Aptitude for computer use including content management programs, webinar platforms, iMIS, Microsoft Word and Office. Ability to learn new technologies quickly. High level of computer literacy.
• Results-oriented and highly organized, willingness to problem solve effectively.
• Willingness to experiment with new and changing technologies.
• Ability to manage multiple projects on a cross-functional team.
• Interest in newly emerging technologies or other platforms for use with webinar/online educational content.


• 2 years of administrative experience.
• 2 years of customer service experience.
• 2 years of webinar project management experience (preferred).

Education: BA or BS required

Physical Work Activities & Conditions:

• Continuous sitting for prolonged periods more than 2 consecutive hours in an 8-hour day.
• Keyboard use of greater or equal to 50% of the workday.
• Percent of Travel: 0-25%
